  • Identity & Contact Details: Full name, position, company name, ABN/ACN, physical business addresses, email addresses, and telephone numbers.

  • Financial & Payment Vetting Information: Bank account details (BSB and Account Number), credit histories, and supporting verifications such as bank statement headers or deposit slips.

  • Compliance, Licensing & Certifications: Workers' Compensation and Public Liability insurance certificates, professional licenses, training records, and Indigenous business or local contractor accreditation details.

  • Statutory Declarations & Disclosures: Responses, checklists, and signatures regarding workplace standards, employment practices, and supply chain transparency as required by the Modern Slavery Act 2018 (Cth) and Fair Work frameworks.

3. How We Collect Information

We collect information directly from you when you interact with our digital ecosystems. This occurs when you:

  • Complete our online Supplier Onboarding or Contractor Pre-Qualification forms.

  • Submit physical or electronic documentation during tendering, procurement, or request-for-proposal (RFP) processes.

  • Correspond with our project management, procurement, or accounts departments via email, phone, or secure portals.

4. Why We Collect and Use Information

United Infrastructure collects and uses personal and corporate data strictly for necessary operational, financial, and statutory purposes, including:

  • Supplier Vetting & Procurement: Assessing the commercial viability, safety standards, and operational capacity of subcontractors.

  • Financial Security & Fraud Prevention: Verifying bank account data through third-party independent verification platforms to prevent cyber fraud and ensure accurate Electronic Funds Transfers (EFT).

  • Project Record-Keeping & Compliance: Archiving structural compliance records within our construction management software for ongoing site safety, audit logs, and project management.

  • Legal & Regulatory Obligations: Ensuring compliance with Australian industrial relations legislation, workplace health and safety laws, and federal reporting requirements under the Modern Slavery Act 2018 (Cth).

5. Disclosure of Your Information

We do not sell or rent your information. We only disclose your personal or business data to third parties under the following necessary circumstances:

  • Internal Personnel: Relevant internal divisions, including Procurement, Operations, and Accounts departments, to facilitate workflow approvals.

  • Independent Verification Services: Third-party financial and identity verification platforms (such as EFTsure) to securely validate banking credentials before system entry.

  • Cloud Architecture & Systems Providers: Secure data management ecosystems, cloud storage platforms, and enterprise solutions (such as Jotform, Microsoft 365, and Procore) used to host and archive company records.

  • Law Enforcement & Government Bodies: Where required or authorized by law to fulfill auditing, regulatory reporting, or legal discovery obligations.

6. Data Security and Storage

We prioritize data security and take all reasonable steps to protect your personal information from unauthorized access, modification, disclosure, loss, or misuse.

  • Digital Protections: Data captured via our onboarding solutions is encrypted during transmission and stored within secure cloud databases hosted on localized Australian servers where possible.

  • Access Controls: Access to your financial and corporate compliance records is strictly restricted to authorized administrative personnel who require it to complete vetting workflows.

  • Data Retention: We retain information in accordance with statutory retention requirements under Australian tax, financial, and corporate law. Where information is no longer legally required or operationally necessary, it will be securely destroyed or permanently de-identified.

7. Accessing and Correcting Your Information

You have the right to request access to the personal information we hold about you and to request corrections if you believe the details are inaccurate, outdated, incomplete, or misleading.

If your company information changes during your commercial engagement with us, you can request an edit link or contact your United Infrastructure procurement manager to update your records.
